Purpose of the Position
Under the direct supervision of the Administrative Officer, the Administrative Assistant supports the respective section in performing a variety of clerical duties related to the administration of the office, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.
Key Expected Results

  1. Under the close supervision of the Admin Officer, carries out physical count of inventory for the office including Attractive items and the non-expendable property. Monitors movement of asset acquisitions in/out and record the PPE acquisitions and maintain the PPE and Assets updated in vision. Produce periodic reports on Assets status and utilization.
  2. Assist/recommend a quarterly list for the replacement/disposal of equipment and furniture to the supervisor and assist in implementation of recommendations from the PSB committee. Keeping records of all related documents.
  3. Follow up on receiving invoices/ Delivery of services and required payment documentation
  4. Under the guidance of the supervisor, assists in the local procurement of office supplies, up to a maximum of USD 2500; assist in obtaining bids from different suppliers and prepare a note.
  5. Drafts routine correspondence, based on specific directions/instructions in both Arabic and English Monitor/update a protocol data base for all International staff IDs/driving licenses/residence etc..
  6. Assist in logistical support for travel of program staff and consultant. Revise TAs in vision for posting
  7. Maintains records of office telephone and mobile phone bills. Prepares personal use billings and monitors for timely payments/deductions. Maintains and updates list of mobile contact numbers.
  8. Under the close supervision of the Admin Officer,   assists in the provision of office maintenance and repair services. Assists in ensuring maintenance and repair of office equipment. Back up for the supervising the day-to-day office work of messengers, contracted cleaners and security guards.
  9. Performs other duties, as required.
Qualifications of Successful Candidate
  1. Completion of secondary education preferably supplemented by technical or university courses related to the work of the organization.
  2. A minimum of 4 years of progressively responsible administrative or clerical work experience is required.
  3. Fluency in English and in the local language of the duty station required.
