Description Responsibilities include maintaining computer data bases, assisting with mailings, ordering supplies, answering telephone calls, greeting visitors, filing and performing a variety of administrative tasks and support for the Sales department and Sales offices. Greets visitors in a friendly and professional manner, documents all visitors in log book; determines their needs, notifies the person(s) being visited and if more than a 5-minute wait is likely, offers and serves coffee; stays within the vicinity of the reception area at all times and coordinates with the Branch Manager and Executive Sales Assistant for substituting during any absence. Answers telephone calls promptly and courteously; screens calls, transfers caller to correct individual; does not leave a caller on hold or unattended for more than 40 seconds; takes complete and accurate messages when person called is unavailable and distributes messages in a timely manner. Receives and sorts incoming mail, express envelopes and courier deliveries. Prepares and posts all outgoing mail and express envelopes daily; logs outgoing express envelopes; arranges courier services. Prepares sales packets with marketing literature and correspondence as directed by sales team. Straightens and maintains orderly appearance or reception area. Performs other administrative or office duties or projects as required or as assigned.
Qualifications Possession of a University degree, with a major in business administration is preferred. Previous work related experience or training in the real estate development industry is preferred.

Other Skills Proficiency in using Microsoft Office Suite applications and contact management software. Must be a good communicator. Demonstrate aptitude for problem-solving; ability to determine solutions. Must be results-orientated and able to work both independently and within a team environment. Proficient in telephone communications. Possess solid time-management and organization skills. Good reasoning ability is important. Able to understand and utilize sales reports, memos and other documents to conduct business.
