Description Surveying and checking the door and informing staff of the arrival of their visitor according to the security manual. Answer, forward, and take messages for incoming telephone calls in Arabic and English. Ensure that all incoming correspondence to the institute (emails, letters and other documents) are forwarded internally and filed properly. Maintain an up-to-date filing of all incoming and outgoing official correspondence of the Institute (e.g. fax, email, letters, etc.) Take minutes of staff meetings and when otherwise required in Arabic and English. Prepare staff meetings in cooperation with management Assist in preparing the annual meetings of the Institutes executive board from typing, copying and filing of documents to hotel and flight bookings and other. Make travel arrangements including hotel and flight reservations for staff and guests. Update the contact book. Regularly checking email box for the accounts of dedi'dedi.org.eg and info'dedi.org.eg and taking all the necessary action. Managing the inventory of stationary (e.g. toner, paper, envelopes, pens, etc.) in the institute and always ensure that sufficient supplies are available. Making orders by phone to replenish stock.
Qualifications A university degree in relevant field. 1-3 years professional experience including work experience in an international organization (governmental or private). Excellent command of spoken and written Arabic and English. Excellent communication, teamwork and interpersonal skills, as well as a passion for cross-cultural dialogue and an openness to other cultures. A strong work ethic, maturity and independence.

The team consists furthermore of a Head of Finance and Administration (Head of Section), a Finance & Admin officer, an Office Assistant, and a Security Officer.
