Job Description Job Purpose

Provide human resource support and guidance in the areas of, Employee Relations, Payroll, Recruitment, Employee Benefits/Pension, HRIS, Personnel Policies, Fleet Administration, performance management and other relevant assigned HR activities

Major Accountabilities

• Pro actively support HR Processes; performance management, staffing, training and development
• Support Shared Service Center where needed implementation and act as OTC focal point of contact.
• Supports HR Team in providing high quality HR service to all associates anticipate and respond to local management’s needs and support them in their people management responsibilities.
• Provide advice and guidance to line managers and associates on HR programs, policies and processes and provide counsel that will ultimately improves the recruitment, retention and development of employees.
• Brings advice and counsel in problematic and challenging situations; coaches and/or mediates with employees and managers proactively as well as reactively, using other HR, Legal and senior line management resources as appropriate.
• Facilitates employee/manager meetings and group meetings.
• HR Excellence: Align HR Processes where necessary with other divisions in Egypt (GJFA, PMP, C&B, Training & Recruitment) to ensure processes defined & implemented in a harmonized manner in alignment with corporate guidelines.
• Ensure successful & accurate First Port & TMS reporting.
• Circulate the necessary internal communications with regards to HR and employee affairs.
• Regularly update and align Org Charts and Role Profiles.
• Be point person for HR Systems (FirstPort, TMS, GDDB).
• Build and maintain a contact network with key internal stakeholders across Novartis Divisions in Egypt.
• Report HC, personnel costs and analyze information and reports to assess effectiveness of HR practices and actions. Looks for opportunities to improve programs and provides training that will yield better performance or results. Act as employee advocate and escalates issues in a timely fashion via confidential or management ranks when needed.
• Facilitate and participate in activities related to performance management such as performance calibration and talking talent session. Builds relationships that will facilitate the involvement of human resources in the decision-making process and represents Novartis policies and Novartis corporate values in the business setting.
• Ensure completion and documentation on OTR and Performance Management cycles.
• Business Partner: Proactively build good working relationship with associates and seek to understand their business challenges.
• Ensure administrative support for staffing, internal moves and induction of new hires.
• Follow up on the implementation of development plans and Advise line managers as well as employees on developmental tools (training courses, opportunities for developmental assignments, etc).
•HR Processes: Support HR Team in operating the HR processes and systems related to entry, development, retention and release of employees. Identifies needs/ opportunities for HR process changes, participates in projects driving HR process improvements as well as in projects tailoring global new processes to local needs.
• Ensure all HR processes and practices are followed, updated and meet all legislative and audit guidelines
• Work with HR peers with projects and trouble-shooting to ensure that company and departmental objectives are met.
• Manage the company's payroll, ensuring that transactions are processed in an accurate and timely manner and meet statutory and internal customer requirements.
o Manage and run the payroll cycle and arrange the distribution of payslips.
o Control periodic allowances and deductions in conjunction with statutory and contractual obligations.
o Control payroll costing and ensure the correct recording into the accounts in collaboration with Finance.
o Manage the relevant relationships with banks, provide accurate information to employees, managers, Finance department, and relevant authorities.
o Arrange the storage and retention of the relevant documents within statutory guidelines.
o Ensure compliance with the required tax laws, social insurance guidelines, manage the company's exposure and share understanding within Finance and Human Resources.
o Control payroll costing and ensure the correct recording into the accounts in coordination with Finance.
o Produce reports on the payroll process in timely manners
o Ensure the storage and retention of the relevant documents within NFCM guidelines.
o Work with 3rd party payroll provider on the execution of the payment
•Enroll all associates in the benefits and pension programs; implement changes subject to the rules of the program.

Minimum requirements Ideal Background

Education :
• Universitiy degree in business or relevant discipline
• Professional HR qualification is a plus.

Languages
• English
• Arabic
• French is a plus

Experience:
• Considerable HR experience of 4-6 years including 2 years as an lHR Partner with direct support of and partnering with line managers.
• Additional specialist HR function experience advantageous
• Proven success managing complex HR challenges in a matrixed international organisational setting, working strongly and collaboratively in teams to achieve objectives
• Experience in managing HRIS and Processes Control
• Thorough understanding of strategic importance of data management
• High degree of results-orientation and ability to execute while multitasking
