Description 1. Provide support to Managing Director Main Activities Receive, direct and reply telephone messages and fax messages for the Managing Director Book flight tickets to the MD Book Hotels to the MD Book flights, cars, hotels to guests of the MD. Reserve fairs and exhibitions inside and outside Egypt Responsible for MD visas Book events in hotels meeting rooms, social dinners for MD visitors 2. Provide office support services in order to ensure efficiency and effectiveness within the Office Main Activities Maintain the general filing system and file all correspondence Assist in the planning and preparation of meetings, conferences and conference telephone calls Make preparations for Managing Director and Board of Directors meetings Maintain an adequate inventory of office supplies Issue purchase order for office supplies and approve it from financial department. Respond to public inquiries Provide secretarial support Type confidential documents on a word processing system Assist in bringing price lists, quotations and offers as requested 3. Provide support to the board of directors Main Activities Assist board of directors as requested Provide administrative services for the board of directors Responsible for staff visas. Responsible for staff hotels reservations. Responsible for staff flight tickets issuing. Responsible for correspondence (faxes-emails-printers-scanners). Responsible for writing all types of documents for the staff. Responsible for receiving and directing phone calls.
Qualifications Knowledge The incumbent must have proficient knowledge in the following areas: office administration Front office skills Skills The incumbent must demonstrate the following skills: team building bookkeeping skills analytical and problem solving skills effective verbal and listening communications skills
