Job SUMMARY
Provide personal administrative support to management and the company through conducting and organizing administrative duties and activities including receiving and handling information.
Duties and Responsibilities
1- Prepare and manage correspondence, reports and documents
2- Organize and coordinate meetings, conferences, travel arrangements
3- Take, type and distribute minutes of meetings
4- Implement and maintain office systems
5- Maintain schedules and calendars
6- Arrange and confirm appointments
7- Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, and photocopy machine.
8- Communicate with customers/suppliers/visitors/enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person.
9- Organize internal and external events
10- Handle incoming mail and other material
11- Set up and maintain filing systems
12- Liaison with internal and external contacts
Relationships
Works with: Works with all company departments
Outside the company: Works with customers, suppliers and visitors
QUALIFICATIONS
Education Bachelor’s degree
Related Work Experience 0 - 1 year of related work experience
Supervisory Experience No supervisory experience is required
Working Conditions
Spends long hours sitting
Work Environment: a busy, open area office with interruptions
Skills and specification
Ability to speak, write and read the English language.
Good professional appearance.
knowledge and experience of relevant software applications - spreadsheets, word processing, and database management
