CORPORATE SERVICES MANAGER

The British Embassy in Cairo is seeking a Corporate Services Manager to work with & support the Head of Corporate Services. The focus of the position will be on delivery of services through managing budgetary aspects of the Embassy operations and implementation of best practice. This is a demanding role and would suit someone with previous management and financial experience. The successful candidate will be part of a Corporate Services team delivering a wide range of services to both UK Diplomats and Embassy personnel.

The key responsibilities of the job will be:

  • Preparing and liaising with HOCS on budget spread sheets against the Embassy’s budget in accordance with corporate policies to ensure on-budget expenditure and value for money.
  • Ensuring Corporate Communications strategies are implemented Embassy wide.
  • Line management of the Embassy Accommodation Officer (Band B) and Transport/Telecom Coordinator (Band B).
  • Implementing Post Accommodation policy; Ensuring Embassy rent ceilings reflect market conditions and are best value for money.
  • Monitoring the cost of maintenance services to the Embassy, including the cost of the employment of casual labours.
  • Oversight of the PYRAMID property record system
  • Efficient management of Embassy transport and mobile telephone policies.
  • Overall management of the cost of providing transport and telephone services to the Embassy; oversight of safety and service issues
  • Providing advice on FCO policies, including travel, travel package, CCJs, medical and dental policy.
  • Checking and authorising staff expense claims through the official account ensuring they are in line with FCO policies and local practice
  • Responsible for Purchase Orders’ approvals on PRISM
  • Approval of supplier invoices checking the goods and services have been received to a satisfactory standard.
  • Formulation and implementation of Health and Safety policies throughout the Embassy.
  • Establishing and monitoring a Fire Warden and First Aider system.
  • Administrator and invigilator for language exams and issues relating to language students at Post

SOCIAL SECRETARY/RESIDENCE MANAGER

The British Embassy in Cairo is seeking to recruit a Social secretary for the Ambassador and a Residence Manager.

Main Duties and Responsibilities:

  • Plan and organise all social events hosted by the Ambassador and his spouse.
  • Coordinate and conduct all logistical planning for the different functions, liaising with other embassies’ staff, external clients and service providers.
  • Assist in drawing up guest lists and communicate all verbal and written invitations to guests.
  • Cultivate and maintain good working relationships and networks of contacts in government, nongovernment and private sectors.
  • Maintain and update the contact database, and advise the Ambassador of any changes or social obligations that he needs to be aware of.
  • Work closely with the Ambassador’s Personal Assistant on maintaining his diary and any other issues relevant to the residence or the Ambassador’s engagements.
  • Manage the Residence Staff (8).
  • Liaise with the management team over residence operational needs.

POST SECURITY ADMINISTRATION SUPPORT OFFICER

The British Embassy, Cairo, invites applications for the position of Post Security Administration Support Officer (Band B).
The successful applicant will be required to support the ROSM in the day to day running of the Embassy Security team administration. The candidate will also be required to develop a working understanding of physical security tasks to increase the overall capability of the security team. Carry out any tasks which support the security objectives of the Embassy as specified by the ROSM.

  • Maintain and monitor leave and duty records for the guard force.
  • Maintain and monitor all applications for staff passes for new and temporary staff.
  • Maintain and monitor the LE Staff security clearance database and draft letters to the FCO on clearance matters.
  • Maintain, monitor and draft correspondence on local security matters, [with translation where required].
  • Maintain and monitor all records of alarm systems (CCTV, Fire, X-Ray Scanner etc).
  • Assist with weekly alarm tests of the fire, bomb and incident alarms.

ELECTRICIAN

The British Embassy Cairo is seeking to recruit an Electrician to join the Technical Works team. The electrician will be joining and working alongside a small team of Maintenance. You should be able to maintain high standards of health and safety and quality standards, and have the ability to carry out fault finding, reactive repairs, installations and planned preventative maintenance. You must be a strong and confident communicator with the ability to remain calm in stressful situations and be able to work unsupervised or within a team.

Main Duties and Responsibilities

  • Maintenance of all embassy properties.
  • Rewiring new properties to meet the British standard and specifications. (Earthing, RCD’S, earth leakage in the main panels,).
  • Testing and Inspection
  • Fault finding and repair
  • On call for emergencies out of normal working hours 24/7 to respond to the call within one hour.
  • Liaise with electricity company as and when needed
  • Satellite installation –an advantage
  • Purchase of correct electrical items for projects
  • Working to correct health and safety and quality standards
  • Assisting other Trades if required
