Description *organize and coordinate office operations and procedures in order to ensure organizational effectiveness and efficiency. *design and implement office policies. — Establishes standards and procedures. — Organizes office operations and procedures. — Supervises office staff. — Monitors and records long distance phone calls. — Prepares time sheets. — Controls correspondences. — Reviews and approves supply requisitions. — Liaises with other agencies, organizations and groups. — Updates organizational memberships. — Maintains office equipments. — Assigns and monitors clerical and secretarial functions. — Supervises staff. — Evaluates staff performance. — Coaches and disciplines staff. — Designs filing systems. — Ensures that filing systems are maintained and up to date. — Defines procedures for record retention. — Ensures protection and security of files and records. — Ensures effective transfer for files and records. — Transfers and disposes records according to retention schedules and policies. — Ensures personnel files are up to date and secure. — Plans and implements office systems, layout and equipment procurement. — Maintains and replenishes inventory.
Qualifications • Ability to work under pressure and to handle multiple tasks on the same time. • High communication skills. • Keeps confidentiality and straight forward relationship with the staff. • Works in a harmony with members of the Executive Committee. • Excellent knowledge of dealing with computer (excel, office, and outlook ) • Excellent interpersonal skills.
