What are my responsibilities?
- Responsible for Manager's daily schedule and travel arrangement, VISA application, hotel booking, restaurant, flight ticket.
- Receiving and forwarding GM's documents, letters, meeting request and making meeting munities and records.
- Preparing the internal and external official documents as required.
- To be a channel for internal communication. Update the internal Communicate sheet and employee’s data as required.
- Manage the stationary and the office facilities, do the PR and promotional material PO process.
- Organizer for business related activities, like outing and annual dinner, workshop and family day.
- Responsible for Administrative services and support to organizational units, projects to individuals including organizing and maintaining office supplies, file, documentation, and record keeping, scheduling resources, correspondence and data management, and answering requests.
- Complete and follow up the different expenses claim process in timely manner ensuring all documentation required is available and submitted in the right format and in line with the internal process
- Provide range of administrative support to the whole Team and Managers
- Work with Internal IT Tools for processing paperwork / user requests / e-forms in timely manner to ensure that the internal processes are adhered and the team has adequate tools to complete their daily tasks
- Scheduling regular meeting with various parties as required by the Manager and the team.
- Preparing and following up on Purchase Orders and invoice with the vendors / corporate departments
- Provide guidance to new team members on tools and other administrative processes such as electronic forms, leave application forms.
- Maintain collaborating relationships with company's staff
- Communicate effectively with all team members
- Supports all Departments and all staff in organizational matters (e.g. training, events, travel, etc.)
- Handles all incoming and outgoing correspondence and maintain required records and registers
- Organize and maintain the archive structure for easy access of documentation and drawings
- Organize and maintain documents on the share point
- Responsible for department employee attendance record management (daily, monthly check and data statistics)
- To provide verbal and/or written translationWhat do I need to qualify for this job?
- You have excellent written and oral communication skills in Arabic & English languages while German is an assist but not a must requirement
- Interpersonal and intercultural competences

- Highly organized and punctual and stress resistance (able to work under stress )
