Description Schedule and organize complex activities such as meetings, travel, conferences and department activities for all members of the Executive floor, Create and develop visual presentations for the General Manager. Establish, develop, maintain and update filing system for the GM and the department. Retrieve information from files when needed. Sort and distribute mail. Open mail for the GM. Draft written responses or replies by phone or e-mail when necessary. Respond to regularly occurring requests for information Answer phones for GM. Take messages or fields/answers all routine and non-routine questions. Act as a liaison with other departments and outside agencies and the Regional Office in Dubai, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handle confidential and non-routine information and explain policies when necessary. Work independently and within a team on special nonrecurring and ongoing projects. Act as project manager for special projects, at the request of the GM, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures. Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Qualifications At least 4 years Experience in the Administration & Secretarial works. Can produce and type reports in English & Arabic languages. Excellent command of MS Office especially Word, PowerPoint and Excel.
