Description     Provides a professional private secretarial service for the Operation Director, routing callers and correspondence as necessary and taking initiative in drafting and finalising replies where appropriate to ensure that all matters are dealt with efficiently and appropriately.   Co-ordinates and facilitates the reception and logistical arrangements for visiting VIPs and dignitaries, ensuring observance of protocol and sensitivity to cultural aspects.  Provides a time management/diary service for the Director and Site Operations Manager to ensure effective use of time and attendance at all meetings at the appointed times. Makes travel arrangements in a time-effective way, including arranging complex Visas itineraries/venues, ensuring most effective use of executive level managers time.  Takes responsibility, as agreed with executive level manager, and exercises initiative to identify and deal with problems and issues that arise to ensure smooth running of his office and the department as a whole.  Makes arrangements for meetings, including booking venue, ensuring all participants are aware of timing, adequate supplies of stationery are available and may attend meeting as minutes secretary  Maintains records/files, replenishes stationery and arranges servicing of office equipment to ensure the department head can function effectively and with minimum disruption.
Qualifications    Bachelors Degree preferably in business related discipline, Vocational Secretarial Training Passed  at least 3 - 5 years broad based secretarial experience with 2 years experience in executive level fluent in English language skills Awareness and understanding of functions and objectives throughout the organization Excellent computer skills with knowledge of relevant software Good communication, planning and organizations skills Strong interpersonal skills Good report writing skills and time management skills High English and Arabic typing skills  A minimum of one years’ experience in one or more of the following fields: risk management, performance improvement, project management, business development, or business administration

Other Skills    Adding Role is to coordinate risk management activities for the related BU in full coordination with the risk management function at Head Office , and is responsible to confirm business unit related risks with business unit Heads and business unit Financial Managers, and forwards the business unit risk profile to the Risk Management Section Head, Provide general / objective feedback on the risks associated with the business unit Leads, facilitates and advises the business unit in designing risk management activities. To investigate and analyze root causes, patterns or trends associated with events and identify opportunities. Periodically report the updated risk register to the Risk Management Section Head, Process forms associated with relevant risks identified.
