Description Duties & Responsibilities: — She/he will work closely with senior SD & TA director to provide administrative and communication support; — She /he help to make the best use of the Director time; — She/ he must be able to handle work efficiently in Director Absence; — Discretion and confidentiality are essential attributes for success; — She/he is the Directors first point of contact with people from both inside and outside the organization. — Tasks are likely to include: — Devising and maintaining office systems, including data management and filing; — Arranging travel, visas and accommodation and, occasionally, travelling with director when it is needed to take notes or dictation at meetings or to provide general assistance during presentations; — Screening phone calls, enquiries and requests, and handling them when appropriate; — Meeting and greeting visitors at all levels of seniority; — Organizing and maintaining diaries and making appointments; — Dealing with incoming email, faxes and post, often corresponding on behalf of the Director; — Carrying out background research and presenting findings; — Producing documents, briefing papers, reports and presentations; — Organizing and attending meetings and ensuring the Director is well prepared for meetings; — Liaising with stakeholders and other staff. — In addition to support Director, her team and departments, the scope of the Office Manager role can be extensive and additional duties may include: — Carrying out specific projects and research; — Responsibility for accounts and budgets; — Taking on some of the managers responsibilities and working more closely with management.
Qualifications The following skills and experience are required to fulfill the specific tasks: • A minimum 7 years of experience in office management; • Excellent English language, Excellent written Arabic, French is a plus; • Excellent computer skills, excel sheets, and power point presentation; • Polished communication skills both verbal and written; • Multitasks and can work under pressure efficiently; • Good planning and accurate reporting skills; • Research skills and good.
