- Responsible to raise sales orders and place orders with relevant suppliers on time; prepare pro forma invoices for the customer if necessary; send order acknowledgements to the customer; - Expedite deliveries in line with customer requirements; negotiate improvements on lead times; optimize delivery conditions for all orders; organize and ensure that customers receive relevant and correct shipping documentation; - Place and remove delivery / billing blocks whenever required in coordination with External Sales; ensure that sales invoices and freight invoices are booked accordingly, and sent to the customer. - Update order confirmations and liaise with production and suppliers to ensure delivery schedules are acceptable. - Following up on shipments, documents, clearing agents and providing necessary logistic support. - Timely coordination of any changes to orders with vendors, i.e. freight mode, cancellations, etc. - Adapt a proactive approach to address and follow up on orders and keep the customer informed on a periodic basis on the time frame for delivery confirmation, any possible delays and creative solutions and alternatives to overcome these challenges in coordination with External Sales. - Provide invoicing forecast and order booking forecast with regular updates to sales and/or management. - Coordinate shipments with customers, suppliers and forwarders. - Follow up customer complaints, queries and delivery deviations. - Develop close working relationships with internal and external customers with a focus on mutually benefiting decisions, plans and contracts.
Qualifications - Computer literate, preferably with exposure to ERP Systems (e.g. SAP) and must be proficient with MS WORD, EXCEL and Outlook. - Possesses problem-solving abilities. - A self-starter who is committed to success for the long term. - Possesses good written and verbal communication skills. - Has a keen eye for detail and the ability to work under pressure in a fast-paced environment. Able to deal with frequent change, delays, or unexpected events. - Has good customer service and interpersonal. - Acts with discretion and good judgment. - Able to work independently and as an active team member. - Proactively provides support to fellow team members. - Looks for ways to improve and promote quality and applies feedback to improve performance. - Meets productivity standards and completes work in timely manner.
