Description - Welcomes visitors by greeting them, in person or on the phone; answering or referring inquiries.
- Monitor people coming and going through the reception door
- Screening, answering and forwarding phone calls
- Coordinate messenger service internal & external.
- Checking and distributing documents and department correspondences.
- Receiving, sorting and distributing department incoming mail.
- Ensure office equipment is properly maintained and serviced.
- Responsible for observing services staff performance "office boys, housekeepers".
- Responsible for delivering, receiving the governmental documents and dealing with governmental organizations.
- Co-ordinate and organize appointments, meetings and facilitate the equipment needed for the meetings.
- Responsible for managing and keeping inventory of office supplies such as stationery, kitchen supplies, etc...
- Establishes, maintains and updates files, database & records.
- Faxing, scanning and copying of documents.
- Assure to keep office area clean, safe and tidy.
- Performs miscellaneous job-related duties as assigned. This will include import and export related tasks.
Qualifications Educational Requirement: - A university degree with appropriate specialization. Key Skills & Core Competencies: - Extensive knowledge of computer software (Windows and Microsoft Office), - Proficiency in or knowledge of using a variety of computer software applications, especially Excel and Microsoft Word software. - High level of interpersonal skills to handle sensitive and confidential situations and documentation. - Knowledge of office administration procedures. - Ability to operate most standard office equipment. - Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. - Good to excellent spelling, grammar and written communication skills. - Excellent telephone and oral communication skills. - Ability to maintain a high level of confidentiality.
