Junior Procurement Specialist

A. Responsibilities
The Junior Procurement Specialist provides support in
dealing with all questions arising in this area
identifying relevant problems and issues and assisting in formulating implementation-oriented solutions
further developing instruments and assisting in introducing innovation and change
managing knowledge by disseminating and documenting know-how, experience, and information
documenting and filing related transactions‘ to the job in reference files or in DMS in line with GIZ’s filing rules
The Junior Procurement Specialist performs the following tasks:
B. Tasks
1. Purchasing, procurement
The Junior Procurement Specialist
in accordance with GIZ regulations and in consultation with superior, assists with local procurement of materials and equipment, invitations to tender and order processing
supports in maintaining data relevant for procurement and tenders in project database
assists with checking invoices for goods, vouchers, payment instructions and complaints
assists with the safe transport of goods to destination
assists with processing claims for damage to goods
ensures that documents and files of completed order transactions are in reference files or in DMS in line with GIZ’s filing rules
supports in expanding suppliers’ database
2. Customs declarations
The Junior Procurement Specialist
assists in completing the goods’ clearance process on time and as per GIZ rules
assists in processing customs declaration procedures (duty-free import of goods)
assists with checking ship consignments
assists with monitoring clearing of goods
assists with organising and coordinating collection of goods
3. Vehicle registration
The Junior Procurement Specialist
participates in the entire process of vehicle registration (initial registration and documentation of both private and official vehicles, tax, and insurance issues with project vehicles), new registrations and insurance
assists in forwarding registration and insurance papers to the responsible project/programme staff
4. Inventory
The Junior Procurement Specialist
follows up fixed assets “inventory” tasks and entries by maintaining a well tracking system for all of it, and by conducting a regular physical check for all items according to P+R
assists in preparing memos & protocols when a handover process took place
supports in organising archives of documentation for all inventory documents on DMS
5. General tasks
The Junior Procurement Specialist
participates in tenders, and assists in concluding service agreements, and in the purchase of materials and equipment, and participates in entering into and processing financial agreements
supports in organising distribution of office funds and other office supplies
6. Other duties/additional tasks
The Junior Procurement Specialist
performs other duties and tasks at the request of management
C. Required qualifications, competences and experience
Qualifications
BA/MSc in business management, administration, accounting or equivalent with a focus on finance, controlling, purchasing or contract management or similar related study.
Professional experience
1-3 years of experience including internships in this area.
Other knowledge, additional competences
Outstanding working knowledge of IT technologies (related software, phone, fax, email, the internet) and computer applications (e.g., MS Office).
Very good on both written and spoken Arabic and English, knowledge of German Language is an asset.
Excellent organisational and interpersonal skills.
Detail oriented.
Willingness to travel in the country for an average of 10% of working time in different governorates (Delta and Upper Egypt).
Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management.
