Our Firm is presently in search of a Junior Administrative Assistant to become a valuable addition to our team. We are looking for a candidate who is highly organized, pays close attention to details, takes initiative, and is enthusiastic about fostering a positive work environment. This role presents an outstanding opportunity for recent graduates or candidates with one year of relevant experience.
Key Responsibilities:
Handling administrative requests from the firm’s top management including, inter alia, typing, scanning, and printing.
Organizing and scheduling appointments
Greet and assist visitors to the firm
Planning meetings and events
Answer and direct phone calls
Preparing daily and monthly reports in coordination with HR and Finance
Develop and maintain a filing system.
Maintain staff contact list and extensions.
Travel arrangements: Flight tickets, Accommodation, Visa, and Transportation for business trips
Preparing internal gifts if requested
Generating Transportation Classification report for the finance
Controlling and securing the use of printing documents in the office
Generating printing reports for the finance
Maintaining chamber membership renewals and coordinating with them for any external events
Maintain property and equipment declaration for the staff.
Provide support to the firm’s top management including mainly the Office & HR Manager and the Senior Administrative Assistant.
Sending and receiving couriers in coordination with departments.
The following qualifications are required for the job:
Bachelor's degree in business administration or a related field.
1 to 3 years of experience in administration.
The ability to organize and maintain files and databases in a confidential manner.
Attention to detail and a strong work ethic.
Proficient computer skills, including Microsoft Office.
Fluency in English is a must.
Good communication skills.
Experience with data entry is a plus.
Familiarity with general office equipment is necessary.
