Description ◊Directly responsible for all administrative issues related to CEO and top management. ◊Responsible for organizing top managements agendas, calendars, and appointments to ensure viability. ◊Procuring top managements contact database and relevant information. ◊Proficient and meticulous editing of correspondence, corporate documents, contracts, tenders, etc. to ensure consistency of documents. ◊Efficiently handling confidential incoming and outgoing correspondence. ◊Adequate translation of documents from English to Arabic & vice versa for top management. ◊Procuring office documents and maintaining an effective filing system. ◊Responsible for monitoring the proper recording and distribution of incoming correspondence to recipients in an efficient and timely manner. ◊Supervision of office administrative support staff and coordination of all office support functions. ◊Monitoring, screening and accordingly transferring incoming / outgoing telephone calls to and from top management. ◊Arranging and organizing travel plans, reservations and bookings of top management. ◊Maintaining strong public relationship with all company contacts. ◊Procuring and retaining original contracts and maintaining a separate filing system for such corporate contracts / documents. ◊Recording minutes of office meetings and distributing them to delegates as nominated by CEO or top management. ◊Implement department goals and objectives that enhance efficiency and time frames of administrative tasks. ◊Provide administrative advice to departments, if and whenever required. ◊Responsible for re-ordering stationary & pantry supplies for the office.  
Qualifications ◊BA degree. ◊Excellent Communication and Interpersonal Skills. ◊Excellent Computer Skills. ◊Ability to work under constant pressure and meet deadlines. ◊Ability to make inquiries and resolve conflicting information. ◊Excellent knowledge of MS office software package, internet browsing and office equipment (scanner, fax, copier, etc.) ◊Effective verbal, listening, writing communication skills (Arabic & English)
